1. Who we are
Evential, LLC ("Evential", "we", "us") provides smart-badge measurement and sponsor discovery tools for event organizers. This overview explains the data flows we control directly. Each covered event also has written terms that define the organizer's and Evential's roles, purposes, permissions, retention schedule and approved recipients. 2. What we collect
Floor Measurement. During a covered event, smart badges broadcast a random identifier and gateways record signal observations used to calculate visits, dwell and returns at covered locations. A name is not transmitted in the badge signal. Event registration data is kept logically separate and is matched to a badge identifier only where the event's written terms and the attendee's affirmative permission allow it.
Contact exports. A measurement-qualified visit is not automatically a contact lead. Contact details are included only where the attendee permitted the stated post-event use and the organizer authorizes the export within the event's agreed scope.
Sponsor Discovery. Company sponsorship information is compiled from public sources (event websites, sponsor pages, press releases and company sites). When you create an account or export data, we collect your name, email and billing details.
Website analytics. We use Google Analytics to understand aggregate website usage and measure interactions such as page views, case-study downloads and meeting-link clicks. The site does not send names, email addresses or other form-entered values to Google Analytics, and advertising storage and personalization signals are disabled in the site tag. Google Analytics may use cookies or similar browser storage for site measurement.
3. How we use it
We process data to provide the contracted floor measurement, calculate exhibitor reports, provide sponsor rankings and contact routes, operate and secure the service, process payments and communicate with users. Evential does not sell attendee movement data. Sponsor Discovery exports may include business contact information; requests to opt out of applicable sale or sharing can be sent to contact@evential.co.
4. Sharing
Permitted contact data may be shared with the organizer and the specific covered exhibitor identified in the event notice, subject to the written event terms. We use service providers for functions such as hosting, payments and analytics under contract. A current subprocessor list and data processing addendum are available on request. We may disclose data where required by law.
5. Your rights
Depending on your location, you may request access, correction, deletion or portability of your personal data, and may object to or restrict certain processing. Evential can provide notice and consent templates for an organizer to adapt with its own counsel; the organizer remains responsible for confirming that its event notice and collection flow fit its obligations. To exercise rights or ask which organization controls a specific event record, email contact@evential.co.
6. Retention & security
The event coverage agreement or data processing addendum sets the retention and deletion schedule for event-specific measurement and identity data. Other account, billing and Sponsor Discovery data is retained only as needed for the stated purpose or as required by law. We apply reasonable technical and organizational safeguards; no system can guarantee absolute security.
